Your contact details on your company stationery
It's not unreasonable for customers to want to know exactly who they’re dealing with, so if your full contact details (not just a mobile phone number) are not clearly visible it may put people off doing business with you.
There are also some legal requirements you need to comply with, depending on your trading status, so you should make sure that all correspondence (letters, emails, compliment slips, contracts, receipts, marketing materials, and your website) contains the correct information.
It’s easy to overlook things like email so if you have employees it’s worth ensuring they have a standard format for their email signatures to make sure all the required information is included.
Contact information that sole traders must include
All communications including letters, emails and your website should show:
- your company name
- if your company name does not include your own name you must also show your own name (eg A.Smith trading as Wheelerdealer)
- your address for correspondence
- your contact details (phone number, fax number if you have one, email address)
- your VAT registration number, if you’re registered for VAT
Contact information that partnerships must include
The rules are the same as those for a sole trader. There is no obligation to name any of the partners, but if you list the name of one partner you must list them all.
Contact information that a limited liability partnership (LLP) must include
The rules are the same as for a sole trader except that you must also include:
- the LLP’s registered name
- any trading names that it uses
- where the LLP is registered eg England
- the company registration number
- the registered office address
- the correspondence address (if different from your registered address)
If you do not provide this information you could be considered to be trading in your own name, and not that of the LLP.
There is no obligation to name any of the partners, but if you list the name of one partner you must list them all.
Contact information that a limited company must include
The rules are the same as for a sole trader except that you must also include:
- the company’s full legal name
- any trading namesthat it uses
- where the company is registered eg England
- the registered company number
- the registered office address
- the correspondence address (if different from your registered address)
If you do not provide this you may be considered to be trading in your own name, and not that of the Limited Company.
There is no obligation to name any of the company directors, but if you list the name of one director you must list them all.
